Why identification and due dates come first
A maintenance log is only useful if it can be tied to one specific vehicle and to where that vehicle actually stood the day the log was opened. The Vehicle Identificationsection asks for the VIN and the odometer reading at log start, not just the make and model, because that's what lets a future reader — a mechanic, a buyer, an insurer — confirm which vehicle, and which point in its history, this specific log covers. The Upcoming Due Dates section captures whatever you already know about the next inspection, oil change, timing belt, or tires at the moment you start the log, so nothing already on the horizon gets lost in a blank page.
Maintenance reminders: guidance, not a rule
The reminders section lists common intervals by system — oil, filters, brakes, tires, battery, coolant — across gas, diesel, hybrid, and electric vehicles. It is deliberately written as guidance rather than a fixed schedule: what your specific vehicle actually needs, and when, is set by its manufacturer, not by a generic template. A few line items (engine oil change, timing belt) are marked as not applicable to most fully electric vehicles, and a few others (traction battery coolant, charging cable inspection) apply specifically to hybrid and electric vehicles.
The service log table: one row per visit
Most maintenance histories fall apart not because nothing was done, but because nothing was written down at the time — a receipt gets lost, or a memory of "sometime last year" replaces an actual date and mileage. The service log table asks for eight fields on every row: number, date, mileage, service performed, parts and supplies, cost, provider or shop, and the next due date or mileage for that same item — logged as it happens, not reconstructed later.

Is this maintenance log legally required?
No — a maintenance log itself is not a legal requirement in most places. It's a recordkeeping tool: it helps you prove a vehicle was maintained according to a manufacturer's schedule (useful for a warranty claim or a resale), and it helps you plan the next service instead of discovering an overdue one by breakdown. Any inspection or roadworthiness requirement that does apply to your vehicle comes from your own state, province, or country's rules, not from this template.
Are the maintenance intervals in this template accurate for my vehicle?
They're general guidance only, drawn from common practice across many vehicles — not a standard, and not specific to your make, model, or year. Your vehicle manufacturer's own maintenance schedule, in your owner's manual or manufacturer app, always takes precedence over what's listed here. Have a qualified mechanic confirm any interval you're not sure about before you rely on it.
Can I edit the template after downloading it?

Does this work for electric and hybrid vehicles, not just gas or diesel?
Yes. The vehicle identification and service log sections are the same regardless of energy type. In the reminders and due-dates sections, a few line items — engine oil change and timing belt — are marked as not applicable to most fully electric vehicles, and a few others — traction battery coolant, charging cable inspection — apply specifically to hybrid and electric vehicles.
Can I use this to track a whole fleet, not just one vehicle?
Each downloaded document is one log for one vehicle — that's deliberate, since mixing several vehicles' histories in a single table makes it harder to prove any one vehicle's record.
