A receipt at pickup, not a settlement
This document does one job: confirm that a deposit was collected, in what form, and on what terms — it does not settle anything. Settling the deposit, with itemized deductions and a net refund amount, is a separate step that happens at the end of the rental; that's exactly what Lexio's security deposit return letter template is built for. Issuing both — a receipt at pickup and a return letter at drop-off — gives you a written record at each end of the deposit's life, instead of relying on memory or a verbal agreement at either point.
Why the "what this covers" section matters
Most deposit disputes trace back to an assumption made at pickup, not at drop-off: a renter who believes the deposit is the most they can ever owe, or that it doubles as an advance rent payment. Section 3 heads that off in plain language — the deposit guarantees the renter's obligations, it isn't a cap on liability, and it won't be withheld as a flat or unexplained fee. Stating that at pickup, in writing, removes the ambiguity before it can turn into a dispute later.
Card holds create their own confusion — name it
A credit card hold is one of the most common ways to collect a deposit, and one of the most misunderstood: renters sometimes see the hold on their statement and assume they've been charged. Section 2's explicit checkbox — no amount charged as of the date of this receipt — closes that gap in writing, at the exact moment it matters most.

Is a security deposit receipt legally required?
It depends on where you operate — some jurisdictions require a rental company to give written confirmation when a deposit is collected, others don't impose that requirement for vehicle rentals specifically. Either way, handing the renter a dated receipt at pickup is good practice: it gives both sides a shared, written record of the amount and form collected, before any dispute about the deposit could even arise.
What's the difference between this and the security deposit return letter?
This receipt is the pickup-time counterpart: it documents that a deposit was collected, in what form, and what it covers. The separate security deposit return letter template is the end-of-rental counterpart: it settles the deposit, itemizing any deductions and stating the net refund. Use this one when the renter picks up the vehicle, and the return letter when the rental ends.
Can a card hold be used instead of collecting cash?
Yes — Section 2 includes a card hold (pre-authorization) as one of the deposit forms, alongside bank transfer, an uncashed check, or cash. A card hold means no amount is actually charged unless and until the rental company applies it against amounts owed; the receipt notes that explicitly so the renter isn't left wondering whether they were billed.
Can I edit the template after downloading it?
Yes. You receive it as an editable .docx (opens in Word, Google Docs, or LibreOffice) alongside a ready-to-print .pdf built from the exact same text. Add your logo, adjust the deposit forms listed, or remove sections that don't apply to your business.
Does issuing this receipt cap my liability at the deposit amount?
No — Section 3 says the opposite on purpose: the deposit guarantees the renter's obligations, but it is not a cap on what the renter may owe. Amounts beyond the deposit, if any, remain the renter's responsibility and are addressed separately, outside this receipt.
Does this work for any country or state?
It's written to be adaptable across jurisdictions, not tied to one state, province, or country's statutes — which is also why Section 4 doesn't state a fixed number of days for releasing the deposit. Some jurisdictions do impose specific requirements for collecting or refunding security deposits; check what applies where you operate and adjust the bracketed notes accordingly.
